Welcome to our booking platform. By booking a trip or using our services, you agree to the following Terms and Services. Please read them carefully before making a reservation.

1. Scope of Services & Company Structure

Your travel experience is jointly coordinated and operated under an integrated business structure:

  • Booking & Administration (Kipellier AS): All pre-trip consultations, itinerary planning, invoicing, payment collection, and Scandinavian customer support are managed by Kipellier AS, registered and headquartered in Oslo, Norway.

  • Ground Execution (Mtila Safaris Limited): All on-the-ground safari operations in East Africa—including 4x4 transport, game drives, guided tours, and local logistics—are executed directly by our owned subsidiary, Mtila Safaris Limited, registered in Tanzania.

2. Bookings, Payment Terms & Price Guarantees

  • Payment in Full: Full payment (100% of the total trip cost) is due upon booking confirmation to finalize all reservations, secure national park permits, and lock in accommodations and internal bush flights.

  • Currency & Security: All invoicing and transactions are processed securely under applicable Norwegian and European payment security standards managed by Kipellier AS.

  • Price Guarantees: Once full payment is received and your booking is confirmed, your trip price is locked and guaranteed against currency fluctuations.

3. Cancellations & Trip Amendments

Customer Cancellations

Because 100% full payment is required upon booking confirmation to immediately secure non-refundable park permits, lodge reservations, and local transport, all cancellations must be submitted in writing via email. Cancellation refunds are calculated based on the date notice is received prior to departure:

  • 60+ Days Prior to Departure: Cancellation incurs an administrative and penalty fee equal to 30% of the total trip cost to cover non-refundable supplier deposits. The remaining balance will be refunded (or issued as a travel credit valid for 12 months).

  • 30 to 59 Days Prior to Departure: 50% of the total trip cost is non-refundable.

  • Under 30 Days Prior to Departure: 100% of the total trip cost is non-refundable.

Third-Party Non-Refundable Fees

Specific third-party charges secured immediately upon your full payment—such as gorilla/chimpanzee permits, government conservation fees, or non-refundable domestic bush flight tickets—are strictly non-refundable regardless of when the cancellation occurs.

Itinerary Changes by Customer

Date changes or route modifications requested after booking confirmation are subject to lodge availability, permit transfer rules, and any applicable rebooking fees or rate differences.

4. Mandatory Travel Insurance

To protect your investment against unexpected events, all guests are required to hold comprehensive travel insurance covering the entire duration of their trip. Your policy must include coverage for:

  • Emergency medical treatment and evacuation (including air ambulance in remote bush areas).

  • Trip cancellation, delay, or curtailment.

  • Loss, theft, or damage to personal luggage and equipment.

Proof of insurance may be requested prior to commencing safari activities.

5. Passport, Visas & Health Requirements

  • Passports & Visas: Guests are solely responsible for ensuring their passport is valid for at least 6 months beyond their intended date of departure from Tanzania and holds sufficient blank pages. Obtaining necessary tourist visas is the traveler's responsibility.

  • Health & Vaccinations: Guests must verify medical and vaccination requirements (such as Yellow Fever certificates and malaria prophylaxis) prior to travel. Consult your physician or local health clinic for personalized advice.

6. Ground Safety, Wildlife & Safari Rules

  • Guide Authority: During game drives and park activities, the decisions of our certified Mtila Safaris Limited driver-guides are final regarding safety, vehicle operations, and animal interactions.

  • Wild Animals: Safaris take place in un-fenced wilderness areas. Guests must follow all safety instructions provided by guides and lodge staff at all times. Neither Kipellier AS nor Mtila Safaris Limited is liable for injuries resulting from a guest's failure to adhere to posted rules or guide directions.

  • Vehicle & Luggage Limits: Due to space constraints in 4x4 Land Cruisers and strict weight limits on internal light aircraft, soft-sided duffel bags are required (maximum 15 kg / 33 lbs total per person on bush flights).

7. Limitation of Liability & Force Majeure

  • Force Majeure: Neither Kipellier AS nor Mtila Safaris Limited shall be held liable for failure or delay in performing trip obligations due to events beyond reasonable control, including but not limited to acts of God, extreme weather, natural disasters, war, civil unrest, strikes, government restrictions, or global health emergencies.

  • Third-Party Suppliers: Accommodations, domestic airlines, and third-party activity vendors operate as independent contractors. While we carefully select our partners, we are not directly liable for injury, loss, or delay caused by independent third-party operators.

8. Governing Law & Jurisdiction

  • Contractual Agreement: The booking agreement, payment processing, and consumer rights are governed by the laws of Norway.

  • Dispute Resolution: Any legal disputes arising from pre-trip agreements or financial transactions shall be subject to the exclusive jurisdiction of the courts of Oslo, Norway.

  • Local Operations: Local park regulations and operational road safety in East Africa fall under the statutory jurisdiction of the United Republic of Tanzania.
